Job Description

Specific Job Requirements

  • Provides administrative support to the General Manager and the Leadership Team (except for Business Unit Directors).

  • Screens and prioritizes GM’s agenda, mail and email

  • as well as prepare expense reports.

  • Prepares agenda for GM’s internal and external meetings, collates presentations, attends and takes minutes in Leadership team meetings.

  • Provides administrative support to supported departments’ processes, which includes creating and distributing agendas, collecting meeting assessment forms, keeping minutes on monthly or weekly meetings (when needed) and taking care of meeting logisticsmaking relevant travel arrangements and logistics. Initialing or renewing corporate subscriptions/advertisements.

  • Responsible for coordinating large events which includes the planning, organizing and implementation of several event activities.

  • Liaises with guests and speakers to assess needs and coordinates, as needed, such activities as travel, hotel, expense reports and tools and materials for presentations.

  • May track department budget as directed by immediate manager.

  • Under manager’s direction, creates draft reports, documents, presentations and templates using raw data.

  • Uses advanced level software programs such as Word, Excel, Access and PowerPoint to create graphs, charts, spreadsheets, and presentations.

  • Gathers, collects, records, tracks and verifies relatively complex data and information from multiple sources (i.e. Local Crisis Management Tool, Apttus Managements Tool, Records Retention Project, Vendor’s evaluation tool)

  • Liaises with external agencies or organizations to coordinate activities which are important to the function of the department.

  • Understands the goals and objectives of the entire department and contributes to the attainment of those G&O's.

  • Keeps the bigger picture in mind and influences workflows accordingly.

Knowledge

Very good verbal, written, and interpersonal skills are required. Requires knowledge and understanding of administrative and office policies and procedures. Strong administrative skills, detail oriented, and project coordination ability is preferred. Advanced knowledge in office software is required (Windows, Excel, Word, PowerPoint). Must possess the ability and experience of coordinating a variety of activities simultaneously to include interfacing with senior internal and external parties Works under minimal supervision. Receives occasional direction from manager to perform non-routine job responsibilities and duties. Positive attitude. Must be able to appropriately interact with sr. management.

Specific Education and Experience Requirements

Requires a minimum of a high school diploma

Minimum of 3-5 years relevant administrative experience

BSc or BA University degree would be highly desirable
